Seeking a highly skilled, detail-oriented Remote Executive Assistant to manage complex task coordination, confidential communication, and administrative support for an executive managing sensitive, time-critical responsibilities.
Key Responsibilities:
– Build and manage an Asana-based task management system between two executives in different locations. This includes setup, ongoing updates, and relaying communications between parties.
– Communicate with a second executive on behalf of the primary hiring executive to manage project updates, task accountability, and shared deadlines.
– Maintain strict confidentiality, professionalism, and mature tone in all communications.
– Manage and triage high-volume email inboxes (Outlook and Gmail), flagging key action items and assisting with follow-up as directed.
– Provide scheduling support across Google Calendar and Microsoft Outlook.
– Assist with inbox organization, document management, cloud backup setup, and remote desktop cleanup.
– Coordinate business travel and personal logistics when needed.
– Support household or operational errands that may require online research, order placement, or vendor outreach. May need to schedule medical appointments such as Dental, etc.
Required Qualifications:
– Must be based in the United States
– Minimum 5 years of experience in executive assistance or remote operations support
– Extensive experience with Asana, including system creation and team implementation
– Strong written communication skills and impeccable attention to detail
– High proficiency in Google Workspace and Microsoft Outlook (email, calendar, and file organization)
– Proven ability to work independently, maintain discretion, and act with maturity and speed
– Experience with Excel
